RotaPlanner Update: July 2026
This update outlines the changes, additions, and fixes made to RotaPlanner throughout July 2026.
Onboarding and Account Setup
An updated setup workflow is now available for new accounts. The onboarding process includes step-by-step options to create staff profiles and generate initial shift schedules directly during setup. For detailed instructions on setting up a schedule, refer to the guide on how to Build Your Rota.
Auto-Scheduling Improvements
Updates to the automated scheduling engine affect how schedules are calculated and generated:
- Non-assignable Users: The auto-scheduling solver model now excludes non-assignable staff members from the automated schedule calculation.
- Scheduling Agent: The prompts driving the scheduling agent have been revised to improve overall response accuracy and schedule generation effectiveness.

Shift Patterns and Generator
Several changes have been implemented regarding shift pattern creation and tools:
- Shift Pattern Workflow: The first version of the updated shift pattern workflow has been introduced. More information can be found on the shift pattern software page.
- API Endpoint Update: The playground initialization endpoint has been renamed from
/api/playground/init/manual-patternto/api/playground/init/pattern. - Public Generator: The standalone public pattern generator tool has been disabled.
Free Tier Account Limits
The free tier account limit has been updated to support organisations with up to 10 employees.
Calendar and Scheduling Performance
Calendar views now treat a week strictly as seven days counting from the chosen start date. This adjustment resolves performance issues previously experienced during calendar view rendering.
Security
Rate limiting has been applied across authentication endpoints to restrict repeated request attempts and improve overall system security.
